We collect only what we need in order to answer you. Nothing more.

2. What we process, and why

Correspondence and enquiries. When you write to us, we process your name, e-mail address, telephone number if given, and the content of your message — so that we can answer and prepare an offer. The legal basis is steps prior to a contract and our legitimate interest in answering enquiries (Art. 6(1)(b) and (f) GDPR).

Clients and suppliers. We process the details of contact persons to perform contracts and to meet legal obligations such as accounting and tax (Art. 6(1)(b) and (c) GDPR).

3. Job applicants

When you apply for a position through the form on this site or by e-mail, we process what you send us: your name, e-mail address, telephone number and profile link (LinkedIn, GitHub) if given, your message and your CV. The purpose is the selection process for that position; the legal basis is steps taken at your request prior to entering into a contract (Art. 6(1)(b) GDPR).

We keep an application for no longer than 12 months from the day it was sent, so that we may also approach you with another suitable position; it is then deleted from our system automatically, together with the CV. We delete it sooner whenever you ask. Copies of the notifications that reach our mailbox are deleted by hand within the same period.

Applications are stored with our processors Vercel Inc. (hosting and file storage; CVs are stored privately), Neon Inc. (database) and Resend Inc. (e-mail delivery). Transfers outside the EU rely on the European Commission’s standard contractual clauses. Applications are never passed to any artificial intelligence system.

4. How long we keep data

• Correspondence that did not lead to a collaboration: at most 2 years from the last exchange.
• Job applications: at most 12 months from sending, then deleted automatically.
• Contracts and accounting records: for the period required by law (usually 10 years).

5. Who receives data

We do not sell data. Only our processors may access it, and only as far as necessary — providers of e-mail, hosting, database and accounting services — bound by a data processing agreement. If your enquiry concerns artificial intelligence, we pass it, with your knowledge, to our sister company Everquest, which carries out AI engagements.

6. Your rights

You have the right of access, rectification, erasure, restriction of processing and portability, the right to object to processing based on legitimate interest, and the right to withdraw consent. Simply write to backoffice@gentlecodes.com; we reply within one month at the latest.

If you believe we are not handling your data properly, you may lodge a complaint with the Czech Office for Personal Data Protection (uoou.gov.cz).

7. Cookies

This site uses no analytics, advertising or tracking cookies and collects no visitor statistics. That is why we do not ask for your consent.

The only cookie is set by the site’s private administration — a strictly necessary cookie that keeps the administrator signed in. Our fonts are hosted on our own server, so nothing is transferred to third parties when you visit.
